Job Type: Permanent

Working hours: 40 hours per week (though flexible 4 day working week will be considered and pro rata salary and holidays)

Holidays: 20 plus public holidays

Salary: £22,000 per annum


Velocity is a fast-growing Information Technology company based in Milton Keynes that specialises in providing our customers business optimisation solutions using cutting edge technologies.  The Company is building a reputation with blue chip clients worldwide as the solutions provider of choice. The growth of the business means that we are looking to recruit an experienced Business Administrator to take on the day to day management of the administration of the business.  This role is “hands on” and requires someone who is flexible and willing to support the growth of the business.

The ideal candidate will possess excellent organisational and administration skills, have the ability to work within a team but also autonomously and on their own initiative.  They will have excellent written and verbal skills and previous all-round office administration experience, including Accounts, HR and Marketing & Sales areas of responsibility.


Main Duties & Responsibilities:

Providing business administration support; including customer and employee support to the Sales, Marketing, Operations, Finance and Legal & Compliance functions.


  • Coordinate with external outsourced providers (Payroll/Accounting/HR/Legal/Marketing) to ensure that the business meets its obligations – i.e. ensure that payroll information is submitted on time and that legal and accounting deadlines are met and ensure that HR issues are dealt with in accordance with current legal obligations and best practice as directed by our external consulting teams
  • Take responsibility for the raising of invoices and credit control plus the reporting to the CEO on this activity
  • Act as a central person in the smooth running of the office on a day to day basis
  • Keeping well-organised files and records of business activity
  • Researching company data and archived reports
  • Keeping computer databases up to date
  • Interacting with clients either on the phone or in person
  • Answering phones and connecting calls to the proper department
  • Taking phone messages and passing them on
  • Following up on business communications, billing, and ordering
  • Communicating with materials suppliers and vendors
  • Using spreadsheets to track expenses and company spending
  • Collecting and inputting company data
  • Making travel arrangements for employees
  • Learning about the company’s mission and available products/services
  • Sending emails, letters and messaging
  • Scanning and printing of documents
  • Writing and editing company correspondence
  • Collecting and sorting post
  • Assisting with minor technical support
  • Acting as a personal assistant to the executive team
  • Scheduling appointments and events
  • Ordering office stationery and other supplies
  • Preparing meeting rooms by setting up chairs and getting refreshments
  • Participating in office meetings and taking meeting minutes
  • Giving feedback on office efficiency and suggesting possible improvements
  • Being ready for any other administrative tasks that are required


Required Knowledge & skills:

  • Proven experience and track record as a Business or Office Administrator
  • Exceptional planning and organisational skills
  • Ability to develop, implement and manage processes and procedures
  • Team working
  • Planning & Organising/Time Management
  • Highly skilled in the use of Microsoft Office and Outlook along with CRM software
  • QuickBooks experience advantageous
  • Driving licence advantageous
  • Proof of right to work in the UK
  • 2x referees from previous employers required
